University of Fredericton

Case Study

Summary

  • Client: University of Fredericton
  • Industry: Higher Education (Online / EdTech)
  • Challenges: Following a major rebrand, the client launched a new website powered by a headless CMS. However, critical program data, including tuition, duration, deadlines, intake dates, hero imagery, and descriptions, remained hardcoded and duplicated across multiple Marketing Cloud emails. Because there is no native integration between the CMS and Marketing Cloud, any web update required slow, manual replication across dozens of templates, risking content discrepancies and delivering outdated information to prospective students.
  • Ateko’s Solution: A CMS-driven content layer built inside Salesforce Marketing Cloud that pulls live program data directly from the headless CMS. Emails automatically reflect what is published on the website, allowing new programs to be onboarded seamlessly without developer intervention.
  • Results & Impact:
    • Unified Content Framework: Extended the core web content model directly to the inbox, ensuring website data and email content are always perfectly in sync.
    • Code-Free Marketing Operations: Completely removed the need for marketing teams to touch email HTML when modifying program details.
    • Zero-Code Onboarding: Enabled an automated workflow where newly published programs are automatically captured during the next scheduled sync with no engineering required.

From Hours to Minutes: How an Online University Automated Website-to-Email Content Sync

The Challenge

An online university offering roughly 20 distinct programs recently rebranded and launched a new website using a headless CMS. While the front-end experience was modernized, the university’s automated email ecosystem still relied on legacy, static templates.

Left unaddressed, this disconnect created critical operational vulnerabilities:

The Risk of Mismatched Information: While website changes deployed instantly, email templates retained old branding and outdated details. Prospective students faced a high risk of receiving conflicting tuition rates, application deadlines, or course details.

Massive Manual Workloads: Key details like tuition costs, application cutoffs, and start dates were hardcoded into individual emails. Because every program utilized its own set of templates, the marketing team had to manually locate, edit, and test dozens of distinct emails whenever a single program detail changed.

The Tech Roadblock: Native integration does not exist between a headless CMS and Marketing Cloud. To solve this without inflating tech debt, the university required an architecture that operated entirely within Salesforce Marketing Cloud, eliminating the need for custom external infrastructure or costly third-party middleware.

Goal #1

Eliminate hardcoded program content from Marketing Cloud templates and extend the website rebrand’s unified content framework directly into email channels.

Goal #2

Empower the marketing team to update academic program data autonomously by bypassing developer backlogs and removing the risk of sending inaccurate information to prospective students.

The Solution: Automatic Website-to-Email Syncing

To empower the university’s marketing team without introducing external technical overhead, Ateko engineered a lightweight integration layer operating natively inside Salesforce Marketing Cloud to bridge the gap with the headless CMS.

This architecture delivers three core capabilities:

Complete Operational Independence

The university’s marketing team fully owns and maintains the process. Teams can manage content synchronization completely code-free through a streamlined setup interface. New programs can be launched and maintained on the website autonomously, with zero reliance on engineering resources.

Real-Time Send-Time Rendering

Email templates no longer store static program data. Instead, at the moment of send, templates dynamically fetch up-to-date descriptions, tuition fees, deadlines, and hero assets directly from the CMS. Inbox content remains a precise mirror of the live site.

Automated Scheduling with Fail-Safes

Data updates run automatically on a scheduled cadence. Built-in validation logic actively scans for missing payload data; if a specific program’s data fails validation, that program’s email batch is cleanly paused rather than deployed with missing fields, protecting brand integrity.

Key Success Metrics & Impact

Fan This architecture modernized operations across content quality, team agility, and system reliability:

  • Single Source of Truth: Program data is managed exclusively within the CMS and propagates across channels automatically, permanently eliminating discrepancies between web and inbox.
  • Developer-Free Program Management: Marketing teams no longer submit developer tickets to create, modify, or retire program details in email, eliminating cross-departmental bottlenecks.
  • Automated Marketing Efficiency: Eliminating manual HTML updates for pricing and program copy reduced content retrieval times by 40%, giving operational bandwidth back to the team.
  • Accelerated Campaign Turnaround: Content update cycles shifted from multi-day manual revisions to minutes, taking only as long as it takes to publish a CMS page and trigger the automated sync.
  • Brand & Delivery Protection: Validation checks prevent incomplete, broken, or unformatted emails from ever reaching prospective students.
  • Operational Visibility: If synchronization encounters an error, the system automatically logs, categorizes, and routes alerts via Automation Studio notifications for rapid resolution.
